These Terms and Conditions explain the general rules for using the Exportia-DMS website and engaging with our premium vehicle sourcing, procurement, consultancy, personalisation, logistics coordination, and global delivery support services.

1. Overview

Welcome to Exportia-DMS. By accessing this website, submitting an enquiry, requesting a quotation, or proceeding with any vehicle sourcing or procurement service, you agree to these Terms and Conditions.

Exportia-DMS provides premium vehicle procurement and consultancy support for international clients, including private buyers, corporate clients, diplomatic clients, military personnel, and accredited NGOs. Our role may include sourcing assistance, advisory support, coordination with suppliers or dealerships, documentation guidance, logistics coordination, and bespoke vehicle personalisation support.

These Terms are general website and service terms. Any vehicle transaction, invoice, supplier contract, dealership contract, or written agreement issued for a specific purchase will take priority where it contains different or additional conditions.

2. Our Services

Exportia-DMS offers a specialised premium vehicle procurement service designed to make international vehicle sourcing clear, secure, and professionally managed.

  • Vehicle sourcing: locating suitable new, used, prestige, performance, specialist, or factory-commissioned vehicles.
  • Consultancy: advising clients on specifications, availability, market options, and procurement routes.
  • Manufacturer and dealer access: using our network and industry contacts to identify suitable vehicles and opportunities.
  • International logistics support: coordinating collection, inspection, export preparation, secure warehousing, and shipping arrangements where applicable.
  • Bespoke personalisation: supporting exterior, interior, wheel, exhaust, body kit, colour, and custom design requirements through trusted third-party specialists.

3. Client Eligibility

Certain Exportia-DMS services, vehicle programmes, tax-exempt arrangements, diplomatic supply routes, and specialist procurement options may be available only to eligible clients. This may include bona fide diplomatic clients, military personnel, accredited NGOs, approved corporate entities, or clients who can provide valid supporting documents.

We may request identity, organisation, accreditation, tax-exemption, import, residency, or other relevant documentation before proceeding with an enquiry or transaction. Exportia-DMS reserves the right to decline any enquiry where the required eligibility, documentation, or compliance requirements are not satisfied.

4. Enquiries, Availability & Quotations

The sourcing process begins when you provide your contact details and an outline of the vehicle you are seeking. The more accurate your requirements are, including make, model, year, colour, specification, mileage, location, budget, and delivery expectations, the faster we can identify suitable options.

  • All vehicle availability is subject to market conditions, supplier confirmation, manufacturer allocation, and prior sale.
  • Images, videos, descriptions, specification notes, and estimated pricing are provided for guidance and may be subject to verification.
  • A quotation does not create a binding vehicle reservation unless confirmed in writing through a supplier/dealership agreement, invoice, purchase order, or separate written contract.
  • For new factory-build vehicles, build slots, estimated production dates, and specifications remain subject to manufacturer confirmation.

5. Payments, Deposits & Financial Transactions

To secure a vehicle, confirm a manufacturer build slot, or proceed with a supplier transaction, a deposit may be required. In many cases, a minimum deposit of 20% or full payment may be requested, depending on the supplier, dealership, vehicle type, and transaction terms.

  • Payments are normally made by bank-to-bank transfer directly to the vehicle supplier, dealership, or agreed receiving party.
  • Exportia-DMS does not accept cash payments or credit card payments for vehicle purchases.
  • Where agreed, escrow or similar secure local payment solutions may be used.
  • Currency conversion, bank fees, international transfer charges, and exchange-rate differences are the client’s responsibility unless stated otherwise in writing.
  • All payment terms, deposit terms, and refund terms must be reviewed carefully before payment is made.

6. Vehicle Condition, Inspection & Verification

For used vehicles, Exportia-DMS may assist with independent background checks, condition reviews, photographs, videos, and inspection support. However, final vehicle condition, warranty status, mileage, provenance, prior ownership, and legal title are ultimately subject to supplier, dealership, inspection report, and official document verification.

Before collection or shipment, vehicles may be photographed and checked to document their condition. Clients are encouraged to review all available images, inspection notes, specification sheets, service records, and contract documents before approval.

7. Logistics, Export & Global Shipping

Exportia-DMS may coordinate specialist logistics partners for vehicle collection, secure transport, warehousing, and international shipping. Where possible, we prefer covered specialist transport and secure container shipping to protect vehicles from exposure, road debris, and unwanted attention.

  • Shipping times, port schedules, customs processing, and delivery estimates are approximate and may change due to third-party, port, customs, weather, shipping-line, regulatory, or administrative delays.
  • The client is responsible for providing accurate destination, import, registration, tax, and consignee details.
  • Import duties, taxes, local registration costs, inspection fees, port fees, storage fees, and local compliance costs are the client’s responsibility unless specifically included in a written agreement.
  • Diplomatic, military, NGO, or tax-exempt benefits must be supported by valid documentation and are subject to approval by the relevant authorities.

8. Bespoke Vehicle Personalisation

Exportia-DMS may assist clients who want to go beyond standard vehicle sourcing by coordinating bespoke personalisation services through trusted automotive specialists. These services may include non-standard alloy wheels, exhaust systems, body kits, exterior colour changes, personalised finishes, and bespoke interior design.

Preliminary design images, visual concepts, and configuration suggestions are provided for discussion and approval. Final modification feasibility, cost, warranty impact, delivery timeline, and legal road-use compliance will depend on the vehicle, jurisdiction, specialist provider, and approved specification.

Customisation work may affect manufacturer warranty, insurance, import approval, road legality, resale value, or registration requirements. Clients should confirm all local rules before approving any modification.

9. Cancellations, Refunds & Changes

Cancellation and refund conditions depend on the stage of the transaction and the written terms issued by the dealership, supplier, manufacturer, logistics provider, customisation specialist, or Exportia-DMS.

  • Deposits may be non-refundable once a vehicle is reserved, a build slot is confirmed, supplier costs are incurred, transport is arranged, or customisation work begins.
  • Changes to vehicle specification, destination, delivery arrangements, or customisation requests may result in additional costs and delays.
  • Any cancellation request must be submitted in writing as soon as possible.

10. Liability & Third-Party Providers

Exportia-DMS may work with manufacturers, dealerships, suppliers, transport companies, shipping providers, warehouses, inspection partners, customs agents, and customisation specialists. These third parties may have their own terms, limitations, warranties, and responsibilities.

Exportia-DMS will act with professional care and diligence, but we are not responsible for delays, losses, changes, costs, or failures caused by third-party suppliers, official authorities, shipping lines, customs offices, banks, ports, force majeure events, or information provided incorrectly by the client.

11. Website Content & Intellectual Property

The content on this website is provided for general information about Exportia-DMS services. We aim to keep information accurate and updated, but we do not guarantee that all website content, imagery, pricing references, service descriptions, or availability notes are complete, current, or error-free at all times.

All website text, branding, graphics, layouts, and original materials belong to Exportia-DMS or their respective owners. You may not copy, reproduce, distribute, or reuse website content for commercial purposes without written permission.
